UGC License Log and Expiration Worksheet
A one-row-per-clip worksheet that records the terms behind each creator clip and forces a renew, replace, or retire decision before the license runs out.
Reviewed for 2026, updated September 8, 2026.
A rights log only works if it is kept at the asset level. One row per clip, with the dates and channels written out as fields rather than buried in a note, is enough to answer the question every designer and media buyer asks: can I still use this, and where. This worksheet is the minimum version of that log. Fill it in when the agreement is signed, update the live placements column whenever the clip goes somewhere new, and sort by end date once a week to see what is coming up.
The decision column is the part teams skip and later regret. Before a clip expires, someone should have written down whether it will be renewed, replaced with a freshly licensed clip, or pulled entirely, and who is doing it. The example rows below show the kind of detail that makes the sheet useful; replace them with your own clips. To put a dollar figure on the cost of missed expirations, pair this sheet with our Creator Clip License Expiration Exposure Estimator on the tools page.
